The Profiles Management page is a comprehensive interface designed to help school administrators and staff efficiently manage student profiles. This page provides a visual and interactive way to view and organise student information based on various categories and statuses.
Key Components #
Group Sidebar #
Located on the left side of the page, this sidebar allows users to navigate through different groups of students. These groups can include:
Pre-Admission: Categories such as Applicant Transport, Applicants in Welfare Categories, Applicants with Medical Conditions, Applicants with SEND (Special Educational Needs and Disabilities), Boarder Status, and Intake Group.
On-Roll: groups for currently enrolled students, including Boarder Status, House, Student Transport, Students in Welfare Categories, Students with Medical Conditions, Students with SEND, and Year Group and Form.
School groups: contains a list of groups that are created by user
Users can expand or collapse these groups to view specific subsets of subgroups.
Add Group Button #
The “Add Group” button at the top of the sidebar allows administrators or members of staff to create new groups for better organisation. This feature enables the creation of custom groups based on specific criteria or needs.
Status Filter #
Located at the top of the profiles section, the Status filter dropdown allows users to filter profiles based on their current status. This feature helps users quickly find profiles based on their progression stage.
Search Bar #
The search bar enables users to search for specific profiles by entering the name, surname, or full name of a student. This quick search functionality is essential for efficiently finding individual profiles without manually browsing through the entire list.
Profile Cards #
The main section of the page displays student profiles as cards, each containing the following information:
Student Photo: A placeholder or actual photo of the student.
Student Name: The full name of the student.
Status Badge: Indicates the current status of the student’s application (e.g., Accepted, Applied, Offered). These badges are colour-coded for easy identification.
Warning Indicator: Some profiles may have a warning icon (a red exclamation mark) to indicate issues or required actions, such as missing confirmation or incomplete information.
Export Options #
Located to the right of the search bar, there are three dots (more options icon) that provide additional functionalities for managing student profiles. By clicking on these three dots, a dropdown menu appears, offering the following export options:
Download Profiles in XLSX Format: Users can select this option to download the list of student profiles in Microsoft Excel (XLSX) format.
Download Profiles in CSV Format: Users can also choose to download the profiles in Comma-Separated Values (CSV) format.
These export features are particularly useful for administrators who need to generate reports, perform data audits, or share information with other stakeholders in a structured, portable format.
